Privacy Policy

This policy explains what data AcadBoard processes and how we handle privacy, retention, and deletion requests.

1. Overview

AcadBoard is a browser based student and productivity dashboard that provides a personal workspace with modular widgets, file processing, integrations, and AI assisted study tools.

This Privacy Policy explains what information we collect, how we use it, who we share it with, how long we keep it, and the choices and rights you have.

By using AcadBoard you accept the practices described here.

2. Scope and Applicability

This policy applies to information collected through:

  • the AcadBoard website and web application
  • any related services, widgets, APIs, or integrations we provide
  • communications between you and AcadBoard including support, email, and in app messages

This policy does not apply to third party websites or services that you access through AcadBoard. Those services have their own privacy policies and practices.

3. Categories of Information We Collect

A. Account and identity information

What we collect: Google account profile information and other contact details you choose to provide.

Why we collect it: to create and manage your account, authenticate you, and communicate with you about your account.

B. User provided content

What we collect: notes, boards, custom layouts, text you enter, files you upload including documents, images, PDFs, audio, and video, metadata you attach, and any other content you store or create in AcadBoard.

Why we collect it: to provide the features you request including storage, summarisation, AI processing for specific widgets, search, and sharing.

C. Technical and usage data

What we collect: IP address, browser and device type, operating system, screen resolution, browser settings, language, time zone, pages visited, feature usage, timestamps, error logs, performance metrics, and session identifiers.

Why we collect it: to operate, maintain, and improve the service, detect abuse, and troubleshoot problems.

D. Authentication and third party account data

What we collect: information from third party authentication providers if you sign in with them such as OAuth tokens, name, and email, subject to the permissions granted by that provider.

Why we collect it: to authenticate you and optionally import profile information.

E. Cookies and local storage

What we collect: cookies, session storage, local storage entries, and similar technologies used to maintain sessions, preferences, and analytics identifiers.

Why we collect it: to keep you logged in, remember settings, and measure usage.

F. Derived and aggregated data

What we collect: anonymised or aggregated usage statistics and analytics derived from the categories above.

Why we collect it: to analyse trends and improve the service.

4. How We Use Your Information

  • provide and operate the service including hosting your workspace and running AI features
  • process files and content using third party AI services when requested
  • authenticate and secure accounts and detect suspicious activity
  • improve the service through analytics, testing, and feature development
  • communicate with you about updates, security alerts, and support
  • comply with legal obligations and enforce our Terms of Service

We do not make absolute promises such as we never store or we will never share. Instead, we describe likely uses and reasonable safeguards.

5. Third Party Processing and Sharing

A. Third party processors

We use third party providers to operate and improve AcadBoard. These may include:

  • hosting and infrastructure providers for servers, storage, and backups
  • authentication providers for single sign on
  • analytics providers for usage measurement and performance monitoring
  • AI providers for text extraction, summarisation, translation, and other AI features
  • payment processors if paid features are offered
  • email and communication providers

B. What we share

When you upload files or request OCR or AI processing, those files and derived data may be transmitted to third party processors to perform the requested service.

C. Third party retention and use

Third party providers may retain logs, copies, or derived data and may use that data to operate, secure, and improve their services, including model training, unless their terms expressly prohibit such use.

We do not control third party practices. You should review the privacy policies of any third party services you use.

D. International transfers

Third party providers may be located outside Australia. Your data may be transferred to, stored, and processed in other countries. We take reasonable steps to protect data in transit and at rest.

6. User Responsibility for Uploaded Content

You are responsible for the content you upload, store, or share via AcadBoard. Do not upload content you do not have the right to use or that violates laws or the rights of others.

Prohibited content includes illegal material, infringing content, defamatory material, or pornographic material involving minors.

We may remove or disable access to content that violates our policies or the law.

7. Cookies, Session Storage, and Local Storage

  • maintain sessions and authentication
  • store preferences and UI state
  • measure usage for product improvement

You can control cookies through your browser settings, but disabling cookies may limit functionality.

8. Analytics and Tracking

We use analytics services to collect aggregated and pseudonymised usage data. Analytics providers may collect identifiers and usage events according to their own policies.

9. Data Retention, Backups, and Caching

We retain data for as long as necessary to provide the service, comply with legal obligations, resolve disputes, and enforce agreements.

Backups and caches may contain copies of user content and may persist for a period after account deletion. Complete removal from all backups cannot be guaranteed immediately.

10. Security Practices and Limitations

We implement reasonable safeguards including encryption in transit, access controls, password hashing, and monitoring.

No system is completely secure. We cannot guarantee that data will never be accessed or disclosed improperly.

11. Children and School Use

AcadBoard is designed for educational use and may be used by students, including those under the age of 13, where access is provided or authorised by a school, teacher, parent, or legal guardian.

We do not knowingly collect personal information from children under 13 without appropriate authorisation or consent as required by applicable law. Schools and guardians are responsible for obtaining any required consents and for supervising student use of the service.

If you are a parent, guardian, or school administrator and believe that a child has used AcadBoard without appropriate authorisation, you may contact us and we will take reasonable steps to review and address the issue, including deleting information where required.
