1. Overview
AcadBoard is a browser-based academic dashboard designed to help students organise schoolwork, study materials, notes, files, calendars, and learning tools in one workspace.
We aim to collect only the information needed to provide the service, keep accounts secure, support requested features, and improve reliability.
By using AcadBoard, you agree to the handling of information described in this Privacy Policy.
2. Scope
This policy applies to information processed through:
- the AcadBoard website and web application
- AcadBoard widgets, APIs, and related features
- support requests, emails, and in-app messages
This policy does not apply to third-party websites or services that AcadBoard links to or integrates with. Those services have their own terms and privacy policies.
3. Information We Collect
A. Account information
If you sign in with Google, we receive basic account information such as your name, email address, profile picture, and Google account identifier.
We use this to create your account, keep you signed in, identify your workspace, and communicate with you about your account when needed.
B. Workspace and schoolwork content
AcadBoard stores content you create or save in the app, such as dashboard layouts, settings, notes, homework tasks, test schedules, grades, shared lists, shared notes, and related academic information.
We use this information to provide synced dashboard features, collaboration, backups, and the tools you choose to use.
C. Files and uploaded content
If you upload files, images, PDFs, audio, or other material, AcadBoard processes that content only for the feature you are using, such as file links, OCR, transcription, live captions, or study tools.
Temporary file links may store file metadata such as filename, file size, file type, expiry time, download count, and optional password protection details.
D. Technical and security information
We may process technical information such as session identifiers, encrypted IP addresses, user agents, timestamps, error logs, rate-limit events, and basic server performance information.
We use this to keep AcadBoard secure, prevent abuse, diagnose problems, and maintain reliable service.
E. Billing and plan information
If you use paid features, we store plan status, purchase records, checkout references, credit balances, and usage counters. Payment card details are handled by Stripe and are not stored directly by AcadBoard.
F. Cookies and local storage
AcadBoard uses cookies and browser storage to keep you signed in, remember settings, protect sessions, and support app functionality.
4. What We Do Not Do
AcadBoard does not:
- sell personal information
- use student data for advertising
- build advertising profiles
- store clickstream or page-view history for marketing
- use clicks, page visits, or behavioural browsing data to train AI models
- intentionally store raw live-caption audio after a live caption session
- intentionally store raw transcription audio after processing
- store plaintext password-vault entries
5. How We Use Information
- provide and sync your AcadBoard workspace
- authenticate accounts and keep sessions secure
- run features you choose to use, including files, notes, widgets, and AI tools
- support collaboration features such as shared notes and shared lists
- process billing, subscriptions, and usage limits
- detect abuse, troubleshoot issues, and maintain service reliability
- respond to support requests and account-related messages
- comply with legal obligations and enforce our Terms of Service
6. AI and File Processing
Some AcadBoard features use AI or transcription services. These features only process your content when you choose to use them.
Depending on the feature, this may include sending prompts, pasted text, uploaded images, rendered PDF pages, OCR inputs, audio, or study context to a third-party processor so the requested feature can work.
AcadBoard does not use private workspace content, school data, uploaded files, OCR content, homework, grades, or live audio for advertising.
Where third-party AI providers offer account-level controls for model improvement, AcadBoard aims to configure sensitive student and workspace features so that user content is not used to train third-party models.
7. Third-Party Providers
AcadBoard uses trusted third-party providers to operate the service and provide selected features. These may include:
- Google for sign in and account profile information
- Cloudflare for hosting, security, storage, and related infrastructure
- OpenAI for selected AI, OCR, and transcription features when requested
- WeatherAPI for weather information
- Wikimedia for reference and dictionary features
- Stripe for checkout, payments, and billing events
We only share information with these providers as needed to provide the relevant feature, operate AcadBoard, protect the service, or meet legal obligations.
Third-party providers may process information in other countries and may keep limited logs according to their own security, legal, and service requirements.
8. Sharing and Collaboration
If you use shared notes, shared lists, invite links, or file links, information may be visible to the people you choose to share it with.
Shared content may include names, email addresses, roles, contribution details, invite tokens, note content, list items, and related metadata needed for collaboration.
You are responsible for only sharing content with people you trust.
9. Data Retention, Backups, and Deletion
We keep information for as long as needed to provide AcadBoard, maintain security, comply with legal obligations, process billing, resolve disputes, and operate backups.
Content such as notes, homework, grades, settings, and dashboard layouts is generally kept until you delete it or request account deletion.
Temporary file links are designed to expire according to the expiry time selected or allowed for your account. OCR caches and technical logs may be kept for a limited period to improve reliability and prevent duplicate processing.
Backups may contain copies of deleted data for a limited time after deletion. Immediate removal from every backup cannot always be guaranteed.
You can request account deletion or data deletion by emailing contact@acadboard.com from the email address associated with your account. We may need to verify the request before deleting account data, shared content, or uploaded files.
10. Security
We use reasonable technical and organisational safeguards to protect AcadBoard, including encryption in transit, access controls, secure session handling, rate limits, monitoring, and restricted administrative access.
Some sensitive technical data, such as IP addresses used for security logging, may be encrypted before storage.
No online service can be guaranteed to be completely secure. If we become aware of a serious security issue affecting user information, we will take reasonable steps to investigate and respond.
11. Children and School Use
AcadBoard is designed for educational use and may be used by students, including younger students, where access is provided, authorised, or supervised by a school, teacher, parent, or legal guardian.
Schools, parents, and guardians are responsible for ensuring that any required consent or authorisation has been obtained before a student uses AcadBoard.
If you are a parent, guardian, or school administrator and believe a student has used AcadBoard without appropriate authorisation, contact us and we will take reasonable steps to review and address the request.
12. User Responsibilities
You are responsible for the content you upload, store, create, or share through AcadBoard. Do not upload content that you do not have the right to use or share.
You must not use AcadBoard to store, share, or transmit illegal, harmful, infringing, defamatory, abusive, or unsafe content, including content involving the exploitation or abuse of minors.
We may remove content or restrict access where we reasonably believe it violates our Terms of Service, this policy, school requirements, or the law.
13. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date and, where appropriate, provide notice through the site or app.
